New Year's Eve Party

There were some problems arranging the licence for the event due to delays at RMBC, however when this was eventually sorted out the evening was felt to be a success, although hard work for Debbie and Suzanne the organisers to whom the committee gave its thanks.

Sold 93 tickets raising £285, plus £200 donations.   £52 surplus to be carried forward.

Fund Raising - Cavendish Centre for Cancer Care

A letter had been received from Suzanne Jemison, Deborah Hunton, Stephen Fletcher and Timothy Kearns who are arranging a sponsored walk along the Great Wall of China for the Cavendish Centre which offers treatment for cancer sufferers.

They want to book the Mechanics Institute for a charity race night/pie and pea supper on Saturday 4th March 2006 and would like to hire the room from 8.00 to 11.30pm.  Booking approved.   Bar licence required - Suzanne to apply for temporary event notice on WVCA's behalf.   

DP said that other charities were charged £40 for daily hire for fund raising events.  For consistency it was agreed to charge £20 for this event as it is a half day event.  MG to update the Scale of Charges accordingly to reflect this.

Matters Arising

Credit note for fireworks - SC to arrange to reclaim money.

Issue of Volunteers Register raised - to be included in newsletter.

NC raised issue of generator and mobile lights for future bonfire nights which could be obtained for £50.  Agreed to buy one for trial purposes.

Secretary's Report

Letter from Parish Council re: Remembrance Day wreaths.  They are to provide an official one for next year's ceremony and asked if we would consider doing likewise.  They can arrange on our behalf at a cost of £25.  Agreed that we do and add a message along the lines of “presented on behalf of local people on behalf of Wentworth Village Community Association”.

E-mail from Parish Council about the proposed reception for Betty Sharp who is to receive an MBE to be held in the Mechanics Institute in the late Spring.  They asked if the WVCA could get involved in a working party to arrange this.  We can let them have the hall free of charge, but would have to clarify what the money would be spent on before agreeing to making a donation.  Need to clarify whether it is a public event open to all residents of the WVCA area of benefit or whether it will be restricted to certain invitees.

Parish Council are clearing out land behind the pavilion.  May make room for a new/extended shed if this was required for additional storage - the Parish Council would look favourably on any application for this.

Treasurers Report

SC distributed Financial Reports for October and November.

DP suggested that the Financial Reporting forms could be redesigned as they make reference to subcommittees which no longer exist and do not have enough room for line items.  MG to look at redesigning these.

DP queried issue of water rates payment for pavilion as we do not receive the invoice for this - possibly this goes to Julian.  To check with JD.

SC has obtained the form for the new CCLA charities investment account.  Cheque to be sent with application.  Needs 4 nominated signatories (SC, NC, DP,

Any Other Business

MG to send out up to date list of contacts with the next set of minutes

Various additional newsletter articles were suggested (if time - JG publishing imminently).  DP raised the issue of a “plate amnesty” for return of any blue plates that have been removed from the Mechanics.  NC suggested asking if anyone has a key for the back door or the pavilion as this seems to have been lost.

DP reported that the Art Class was going well and was well supported.

DP said that there was now a qualified keep fit instructor in the village and suggested that we could arrange a daytime keep fit class on a similar basis (with instructor paid by attendees).  Agreed that we should support this initiative as it was a good use of the building for the benefit of the community.

NC reported that it had been necessary to spend money at short notice on repairs to the heating system at the Mechanics Institute.  Replaced pump and timer.
